Privacy and cookie policy

1. Data controller and contact

The controller of personal data relating to SOLAR Apartments and solarapartamenty.pl is Agnawia sp. z o.o., Oświęcimska 22, 43-300 Bielsko-Biała, Poland, tax identification number (NIP) 5472250818. For personal data enquiries, email kontakt@solarapartamenty.pl or write to the controller at this address.

2. Personal data we process

When you contact us, we process the information in your message and your email address or telephone number. For bookings, we process the data required by the booking form and information about your stay, number of guests, services, payments and settlements. For invoices, we process the necessary purchaser details. The website may process technical data, including your IP address, device, browser and pages visited. The scope of measurement depends on your consent and the settings of the tools used.

3. Purposes and legal bases

Bookings, provision of accommodation and steps taken at your request before entering into a contract: Article 6(1)(b) GDPR. Tax and accounting documentation: Article 6(1)(c). Other correspondence, security, and establishing, pursuing or defending claims: Article 6(1)(f), namely the controller’s legitimate interest in handling correspondence and protecting its services and rights. Newsletter subscriptions and optional analytics and advertising: Article 6(1)(a), consent, together with the applicable cookie requirements. Consent records help demonstrate compliance with data protection obligations.

Providing personal data is voluntary. However, fields marked as required are necessary for a booking, performance of the contract or legal obligations. Refusing optional consent for analytics, advertising or the newsletter does not prevent you from making a booking.

4. Recipients of personal data

Service providers may receive data to the extent necessary: the Hotres booking system, hosting and email providers, accounting services, and the payment operator ING Bank Śląski S.A., based in Katowice (ING Pay, formerly imoje), if you choose an online payment. Data may also be disclosed to bodies authorised by law. Following the relevant consent, Google Analytics and Google Ads may send data to Google. MyCookies manages cookie choices and consent records. Providers’ roles and processing terms are governed by their agreements. If you use an external booking platform, such as Booking.com, its privacy policy also applies.

5. Data retention

Booking data is retained for the duration of your stay and settlement, and subsequently for the period required by law or necessary for protecting legal claims. Tax and accounting records are retained in accordance with applicable law. Correspondence is retained while we handle the matter and, where relevant, protect legal claims. Newsletter data is retained until consent is withdrawn or the newsletter ends. Evidence of consent may be retained longer where necessary. Retention of analytics data, advertising data and consent records depends on the type of data, purpose and service settings; it is separate from the lifetime of cookies. You may ask the controller about the current settings.

6. Your rights

Subject to applicable law, you may request access, rectification, erasure or restriction of processing. Data portability applies in relevant cases of automated processing based on consent or a contract. You may object to processing based on legitimate interests; no justification is required for an objection to direct marketing. You may withdraw consent at any time without affecting the lawfulness of earlier processing. To unsubscribe from the newsletter, email our contact address or use an available unsubscribe link. You may lodge a complaint with the President of the Polish Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych).

7. Cookies and consent

Cookies are small pieces of information stored in your browser. Necessary technologies support the website, booking session and recording of your choices. Optional Analytics covers Google Analytics 4 statistics; Marketing covers Google Ads measurement and personalisation only to the extent enabled and covered by your consent.

The banner lets you accept all cookies, accept necessary cookies only, or customise your settings. You may change or withdraw consent using the cookie settings button on the website. You may also delete or block cookies in your browser; blocking necessary cookies may disrupt booking functions. The booking.hotres.pl engine operates on a separate domain. Booking does not require optional analytics or marketing consent.

8. Transfers outside the EEA and profiling

Google services may involve processing outside the European Economic Area, including the USA. Google describes transfer mechanisms, including applicable data protection frameworks and standard contractual clauses, in its data transfer documentation. You may request information about the controller’s safeguards using the contact address. Depending on your consent and the functions enabled, Google may use activity to tailor advertising. Profiling serves advertising and measurement purposes; consenting is not a condition of making a booking.

9. Information about providers’ cookies

Typical cookies after consent include _ga and _ga_* for Analytics statistics, with a default lifetime of 2 years, and _gcl_* for advertising measurement, usually 90 days. The actual cookies depend on settings and use of the website. PHPSESSID supports the Hotres session. MyCookies remembers consent choices. Cookies may be deleted earlier.
